“ShopKeepEasy” is a trading name of ShopkeepEasy Limited a company incorporated in England and Wales with number 09813588 and whose registered office is at 22 Station Road, Harpenden, Hertfordshire, AL5 4SE. ShopkeepEasy is registered as a data controller with the Information Commissioner's Office and can be contacted by using the email address support(at)shopkeepeasy.com.
Information we collect
We may collect the following information in order to fulfil any orders you make from your school, club or group shop, or to help you administer the shop if you have the right to do so:
- Your name, position and birthday
- Your contact information including telephone number and email address.
- Your address information including delivery, billing and gift aid relevant addresses.
- Other delivery name/address information you may supply from time to time to ensure the items ordered get to you.
What we do with the information collected
Our primary purpose for collecting this information is to meet the requirements you want from us and the school/group you are connected to. It also enables us to better understand your needs and provide you with a better service from ourselves and any other third party providers of the service(s) you wish to use. For example, if you are a customer purchasing from your school, club or group who manage and administer this shop, we share the information we collect with them so that they are able to administer their store correctly. In summary, we use this information to operate, facilitate and improve the services provided to you.
By using our services, you will receive communications via email or SMS relating to actions you perform on your account (such as placing an order or making an account change). You may also receive account related communications should something change on your account which are not performed by you (such as a refund being made by an administrator). We may also send important information that meet the legal reason of ‘legitimate interests’ (such as an important order deadline to receive items before the new school year).
In addition to these important communications, you also have the option of receiving updates and news relevant to this shop and our services. This may include:
- New items available to purchase, new fundraising features, special offers and information which we think you may find interesting using the email address or phone number you have provided.
- Providing the services and customer support you request; customise, measure and improve our services, content and advertising; tell you about our services and those of linked websites and services, targeted marketing, service updates, and promotional offers based on your preferences.
To opt in to these updates as a customer, click ‘Manage account’ and select ‘Change account settings’. Tick the relevant check box.
If you are a shop administrator, visit ACCOUNT and select Your details. Tick the relevant check box.
To help us design our site and improve your experience, we may collect information about the way you use and access our site. Our web system collects information about each visitor, including IP address, the length of time spent on our site and the order in which pages are visited. We may employ third party experts to help us look at this information. However, we make sure that anyone we employ treats all information with the same sensitivity and security that we treat it.
We are committed to ensuring that the information we use to send marketing communications to, is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
A cookie is a small file which is placed on your computer's hard drive. By using our online platform, you agree to this file being added. Cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

Controlling your personal information
We may collect, store and process your personal data to make our site available to you and to provide you with content that is tailored to your individual tastes; to maintain any registered account that you hold with us, with your agreement, to contact you (including by SMS and e-mail) about promotional offers and products and services which we think may interest you and for customer satisfaction and market research purposes; to provide our services and third party services to you and for associate purposes, including verifying your identity; for research, analysis, testing, monitoring, risk management and administrative purpose.
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen. You may request details of personal information which we hold about you under the Data Protection Act 1998. A small fee will be payable. If you would like a copy of the information held on you please write to us at our registered office. If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible. We will promptly correct any information found to be incorrect.
Storage of data
We will not store your personal information for any longer than we need to, however we may be obliged by law to store your communications and personal information including activity logs and we may need to show details of these to government or authorised officials upon request. Like many websites, we use log files to monitor the effectiveness of our online marketing programmes.
We will use our reasonable endeavours to delete personal data within twelve months’ from the date that you are no longer involved with any Schools, Clubs or Groups using the ShopKeepEasy platform. This can sometimes require information to be passed to us by these group organisations, which we are not in control. However, should you wish to inform us directly that you are no longer an active member of said groups, we can progress with the deletion of your personal data for you. Deleting your account
Should you wish to delete your user account, please email us at support(at)shopkeepeasy.com. Please email us from the email address that the account is registered to. Once you have confirmed that you wish to delete your account, we will then delete it, along with your contact data (address/email/phone) linked to that account for historical orders.
For administration, legal and consumer right reasons, the historical order data (including the order number, items ordered, value (including tax), address sent, gift aid address used (if applicable) and name) will remain attached to that order. However, it will no longer be linked to a customer account as it will have been deleted, along with any of your personal contact details (such as phone/email and other address information).
Under the GDPR and the Data Protection Act 2018 (DPA) you have a number of rights with regards your personal data. You have the right to request from us access to and rectification or erasure of your personal data, the right to restrict processing, object to processing as well as in certain circumstances the right to data portability.
If you have provided consent for hte processing of your data you have the right (in certain circumstances) to withdraw that consent at any time which will not affect the lawfulness of the processing before your consent is withdrawn.
You have the right to lodge a complaint to the Information Commissioner's Office if you believe that we have not complied with the requirements of the GDPR or DPA with regards your your personal data.
