Information we collect

In order to use your account effectively, we have to collect certain information from you. As part of this, you are required to give your contact information. We use the information given to us by you to provide the linked websites and service(s) you request from us in the way that is set out in this privacy policy.

We may collect the following information in order to fulfil any orders you make from your school, club or group shop, or to help you administer the shop if you have the right to do so:

What we do with the information collected

Our primary purpose for collecting this information is to meet the requirements you want from us and the school/group you are connected to. It also enables us to better understand your needs and provide you with a better service from ourselves and any other third party providers of the service(s) you wish to use. For example, if you are a customer purchasing from your school, club or group who manage and administer this shop, we share the information we collect with them so that they are able to administer their store correctly. In summary, we use this information to operate, facilitate and improve the services provided to you.

By using our services, you will receive communications via email or SMS relating to actions you perform on your account (such as placing an order or making an account change). You may also receive account related communications should something change on your account which are not performed by you (such as a refund being made by an administrator). We may also send important information that meet the legal reason of ‘legitimate interests’ (such as an important order deadline to receive items before the new school year).

Storage of data

We will not store your personal information for any longer than we need to, however we may be obliged by law to store your communications and personal information including activity logs and we may need to show details of these to government or authorised officials upon request. Like many websites, we use log files to monitor the effectiveness of our online marketing programmes.

We will use our reasonable endeavours to delete personal data within twelve months’ from the date that you are no longer involved with any Schools, Clubs or Groups using the UniformEasy platform. This can sometimes require information to be passed to us by these group organisations, which we are not in control. However, should you wish to inform us directly that you are no longer an active member of said groups, we can progress with the deletion of your personal data for you. Deleting your account

Should you wish to delete your user account, please email us at support(at)uniformeasy.com. Please email us from the email address that the account is registered to. Once you have confirmed that you wish to delete your account, we will then delete it, along with your contact data (address/email/phone) linked to that account for historical orders.

For administration, legal and consumer right reasons, the historical order data (including the order number, items ordered, value (including tax), address sent, gift aid address used (if applicable) and name) will remain attached to that order. However, it will no longer be linked to a customer account as it will have been deleted, along with any of your personal contact details (such as phone/email and other address information).

Your Rights

Under the GDPR and the Data Protection Act 2018 (DPA) you have a number of rights with regards your personal data. You have the right to request from us access to and rectification or erasure of your personal data, the right to restrict processing, object to processing as well as in certain circumstances the right to data portability.

If you have provided consent for hte processing of your data you have the right (in certain circumstances) to withdraw that consent at any time which will not affect the lawfulness of the processing before your consent is withdrawn.

You have the right to lodge a complaint to the Information Commissioner's Office if you believe that we have not complied with the requirements of the GDPR or DPA with regards your your personal data.

Notification of changes to this policy

If we decide to change our Privacy Policy, we will post these changes on this website so you know what information we collect and how we use it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will tell you. You will have a choice as to whether or not we use your information in this different manner.
